Jonathan how did this event end up, get any help to tear down and clean-up the area? Set-up is one thing , taking it down at end of the event is when most seem to forget that part of the job.

Yes I had plenty of help tearing down the rendezvous and cleaning up the shooting range. Every camp is responsible for cleaning their camp up. I have a ton of steel targets and signs in the truck now I took home for repair and repainting.
I'm booshway for next year and have some plans for the next rendezvous. All in all, it was small, but a great rendezvous. We all had a blast out there despite the mud.

. When still being 110% involved with the state association we would have the following years events planned the month after the previous year's event ended.
Have the beg letters ready to be sent out (usually tried for 100 manufactures, dealers and anyone that had donated the year before) ready the following month. Would have those letters sent by end the year for the following year, most of these that donate are setup (accountants) to do their donations early as possible. You want to be in the front of the line not the last in line.
Any questions, ask.
The difference is I had at least 20 members helping that saved me time instead of having to do everything myself. Get help from anyone that shows an interest. Good Luck
